Offsite Document Storage – Why Iron Mountain?
It is time to separate the wheat from the chaff.
There is no shortage of companies offering offsite document storage these days, with more entering the market each year. The question is, how do you choose which company to partner with. After all, you are going to be trusting them to protect your most valuable records and data.
Iron Mountain prides itself on operating from world-class facilities. So, when it comes to offsite document storage there are a few things that we feel should not be negotiable.
Facility Security Systems
Your records and data are highly valuable, not only to your business but to your competitors too. Also, let us not forget, or underestimate, the lengths that a disgruntled former employee might go to in order to achieve some misguided form of vengeance.
At the end of the day, your chosen offsite document storage partner should have airtight security that not only meets your expectations but also exceeds them.
Iron Mountain is one such company. We boast high-tech security systems that include:
- Rentsec® video surveillance systems give us a complete view of everything that happens at our facilities.
- VAMSA® – Video alarm monitoring security systems cover our facilities from their perimeter right into the heart of their operations. This means we are proactive about our security rather than reactive and can respond to any threats before they endanger your valuables.
- Add to that 24 hour guarding and on and offsite monitoring of all mission critical systems. These systems operate 24/7/365 and are linked to the Police and Fire departments.
- Then there are our alarm systems linked to armed response and our electrified perimeter fences.
- If that was not enough then there is also our biometric access control system.
All these security systems make Iron Mountain’s offsite document storage facilities among the most secure in the country, if not the world.
Facility Disaster Management
True offsite document storage facilities offer peace of mind that no lock up and go self-storage facility could hope to match. Yet many companies still choose the less expensive self-storage option for their company records and data storage. While this option may appear cheaper, in reality, you get what you pay for. The real cost of choosing facilities that are not actually built for secure offsite document storage may only be known once disaster strikes.
Iron Mountain’s facilities have been purpose built to securely store both paper and electronic records. Our facilities are held in high regard by our clients and even feature fire control systems found in fighter jets.
In addition to our VESDA® – very early warning aspirating smoke/fire detection (ASD) system -accredited by FDIA® and FSIB® we also use in-rack fire suppression systems accredited by ASIB®.
Our Data Storage Vault makes use of not one but two fire suppression systems. Ours was the first facility in South Africa to make use of a NAFS125 gas suppression system. This system is electrically non-conductive and can thus be used to protect electronic equipment such as servers. Not only that but it has low toxicity, which allows it to be safely used in areas where there are personnel.
If the NAFS125 gas suppression system was not enough then there is the added protection of the FM200 gas suppression system that is used in military aircraft.
Then there are the high quality insulated steel canisters that are used to further shield your data.
Lastly, there is a threat that not everyone thinks of straight away, but nonetheless represents a significant risk especially in poor quality facilities. The risk we are talking about is that or vermin. This is why Iron Mountain has contracted vermin and fumigation specialists to regularly sweep clean our facilities.
There is one other kind of disaster that has become all too frequent in South Africa. Yes, we are talking about load shedding and the power surges that accompany it. If the loss of production was not enough then add to it the loss of data when electricity spikes destroy hard drives.
Iron Mountain makes use of generators and UPS systems to mitigate the risks associated with load shedding.
